This Altruist Meeting Assistant Agreement (the “Agreement”) sets forth the terms and conditions for a registered investment adviser (“you” or “Adviser”) to enroll in the Altruist Meeting Assistant service (the “Assistant”), as described herein.
The Assistant is an Artificial Intelligence (“AI”) powered meeting assistant offered by Altruist Corp (“Altruist”, “we”, “us”, or “our”). The Assistant enables Advisers to authorize the Assistant to access calendar data, join virtual meetings, record meeting content, generate transcripts, and summarize key points using AI technology.
By enabling the Assistant, you agree to the following terms. You also agree to notify all participants that a recording may occur, and to comply with all applicable state and federal laws regarding consent and recording, including but not limited to any requirements to obtain prior consent from participants.
Upon connecting your Google Calendar, Altruist will access your calendar data including meeting titles, descriptions, attendees, and conferencing links. When a meeting is underway, you may invite the Altruist assistant to join and passively capture audio and/or video (“Media”) through a third-party recording service. This content is securely transferred to a transcription service vendor, which generates a transcript. After the transcript is created, it is sent to an outside vendor that uses AI models to generate a meeting summary based on the transcribed content. Media files, transcripts and summaries are then retrieved by Altruist and deleted by third-party vendors within seven (7) business days.
Summaries generated using AI models are stored in encrypted form in Altruist’s systems. Raw Media content, transcripts and summaries may be retained by Altruist for processing, support, and enhancement of the Assistant or any other Altruist products. All outside vendors integrated into the Assistant are bound by data protection agreements and have confirmed that they comply with applicable privacy and security obligations.
The Assistant uses AI to generate meeting summaries based on the transcribed content. These summaries are intended to assist with efficiency and recall but may contain inaccuracies. They are not a substitute for official meeting minutes and should not be relied upon as the sole source of record. Advisers are responsible for reviewing the summaries for accuracy and completeness. By using the Assistant, you acknowledge and accept these limitations.
Eligibility and Enrollment
The Assistant is available only to Advisers with an active Altruist account. Use of the Assistant requires a Google Calendar account integration. By connecting your Google account, you authorize Altruist to access and store meeting metadata (e.g., calendar event titles, descriptions, attendees, and meeting links) for the purpose of facilitating the Assistant’s participation.
Termination of Service
Altruist may suspend or terminate access to the Assistant at any time, with or without notice. Data will be retained pursuant to Altruist’s regulatory retention obligations and company retention policies.
Updates to Terms
We may update this Agreement at our discretion. We will provide at least 30 days’ notice of any material changes. Continued use of the Assistant constitutes acceptance of updated terms.
Additional Terms
Advisers enrolling in the Assistant remain subject to all other terms and conditions provided in the agreements governing their use of our Altruist services. Advisers further acknowledge that they may, in the future, receive supplemental disclosures, terms, and agreements pertaining to certain features, or services. This Agreement is governed by the laws of the State of California.
By proceeding and connecting your calendar, you acknowledge that you have read this Agreement and all incorporated disclosures, terms and agreements carefully and have retained copies for your records.
